Booking Procedures / Requirements & Agent Responsibility

All reservation requests for Tours, Transfers and Activities are to be made by The Agent in writing by way of email, fax or letter:

The Agent is responsible for the client's passport validity, visas, travel permits, travel insurance, health certificates, inoculations and any other documentation required for the trip.

Please note WH/The Supplier reserves the right to cancel, at any time, a tour booked due to rain, closure by national parks or any other unforeseen event.

Terms and Conditions - General
» All prices are quoted and payable in United States Dollars (USD)
» Rates are net and non-commissionable.
» The agreement validity is as stated on the rate sheet and it supersedes any previous agreement.
» All tours are based on a minimum of two pax.
» All Botswana transfers are based on a minimum of two pax.
» Visa fees are not included in the prices on the rate sheet.
» This agreement is non-assignable and shall have effect according to the laws of Zimbabwe.
» WH reserves the right to terminate this agreement by giving the agent one months' notice.

Terms & Conditions - Zimbabwe Specific
» All tours include the collection of guests within the immediate vicinity of the various Victoria Falls Hotels. Please check with our reservations if you are unsure.
» Private services of vehicles and boats will be charged according to the vehicle or boat capacity.
» Park Fees are quoted separately and are required to be paid by the Agent.
» Prices subject to change without notice should operating costs rise beyond our control.

Terms & Conditions - Zambia Specific
» All tours include the collection of guests within the immediate vicinity of the various Livingstone Hotels. Please check with our reservations if you are unsure.
» The Victoria Falls Tour entrance fee for Sun Residents is included in the accommodation price.
» The Victoria Falls Tour entrance fee for Non Residents is included in the Wild Horizons price.
» Prices subject to change without notice should operating costs rise beyond our control.

In regard to group bookings, the following will apply:

Guest list to be provided 4 weeks prior to date of travel.

Tour Leaders must be indicated as such on the booking or they will be charged. (1x Bonafide Tour Leader per 20 paying passengers)

Children Under 12 or Under 2 should be indicated as such or they will be charged as adults

All Cancellations must be received and acknowledged in writing and the following conditions apply:

FIT CANCELATION POLICY
» Cancellation more than 30 days before date of travel – no charge
» Cancellation within 30 days before date of travel – 20% cancellation fees
» Cancellation within 7 days before date of travel – 50% cancellation fees
» Cancellation within 24 hours or No Show – 100% cancellation fees
» If a passenger falls ill and provides reasonable proof – 100% refund

Refunds are offset against future bookings. If The Agent prefers bank transfers, a bank fee of US$50 is to the cost of The Agent.

NB Please note that Non-Wild Horizons activities have different cancellation policies and will depend on the size of the group. Please ensure that you always check this, as they are too numerous to specify in this document.

In regard to children, the following policy applies:

As a general rule children under 12 are ½ price, and children under 2 are free, but please check the below table or the office for confirmation.

The following policy applies to Wild Horizons products only

TOUR LEADERS 1 x Bonafide Tour Leader per 20 paying passengers.
CREW Complimentary transfers apply ONLY if traveling with group.
FAMILIARISATIONS These will be issued at the discretion of Wild Horizons and subject to availability and may be subject to a cost recovery.

Groups, Groups Series & FITS:
» Payable strictly 30 days after Statement (30 days credit).
» Accounts running over the 30 day credit period will have credit facilities reviewed/removed.
» Discrepancies should not delay payment of approved invoiced amounts.
» Discrepancies are to be indicated within 15days of invoice and emailed/faxed to the accounts department for reconciliation, then included in the following month's payment.
» Any account running for more than 60 days will be closed permanently.
» Deposit slips must be faxed through to WH on the following fax number to confirm payment to +263 13 44426
» Remittance Advice's need to be urgently faxed/emailed so as to ensure correct allocation of payment against invoices and accounts are accurately reconciled.
» Any refunds due, if not off-set against future bookings, are subject to Bank Transfer charges.
