Please note WH/The Supplier reserves the right to cancel, at any time, a tour booked due to rain, closure by national parks or any other unforeseen event.

General Terms & Conditions

All prices are quoted and payable in United States Dollars (USD) Rates are net and noncommissionable.

The agreement validity is as stated on the rate sheet and it supersedes any previous agreement. All tours are based on a minimum of two pax. Most Botswana transfers are based on a minimum of 1 pax, however some specific transfers are minimum 4 pax. Visa fees are not included in the prices on the rate sheet. This agreement is non-assignable and shall have effect according to the laws of Zimbabwe. WH reserves the right to terminate this agreement by giving the agent one months’ notice.

Zimbabwe Specific

All tours include the collection of guests within the immediate vicinity of the various Victoria Falls Hotels, however all Bridge activities do not include transfers. Please check with our reservations if you are unsure. Private services of vehicles and boats will be charged according to the vehicle or boat capacity, however minmum of 4 pax is usual. Park Fees are quoted separately and are required to be paid by the Agent. Prices subject to change without notice should operating costs rise beyond our control.

Zambia Specific

All tours include the collection of guests within the immediate vicinity of the various Livingstone Hotels. Please check with our reservations if you are unsure. The Victoria Falls Tour entrance fee for Sun International residents is included in the accommodation price. The Victoria Falls Tour entrance fee for Non Residents is NOT included in the Wild Horizons price. Prices subject to change without notice should operating costs rise beyond our control.

DETAILED DESCRIPTION OF GOODS AND/OR SERVICES

Wild Horizons is a business in the hospitality industry that offers accommodation and activities in Victoria Falls and the surrounding regions.

DELIVERY POLICY

Subject to availability and receipt of payment, requests will be processed within 1 day and delivery confirmed by way of an activity voucher.

RETURN AND REFUNDS POLICY

The provision of goods and services by Wild Horizons is subject to availability. In cases of unavailability, Wild Horizons will refund the client in full within 30 days. Cancellation of orders by the client will attract a 5 % administration fee.

CUSTOMER PRIVACY POLICY

Wild Horizons shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). PAYMENT OPTIONS ACCEPTED

Payment may be made via Visa, MasterCard, Diners or American Express credit cards or by bank transfer into the Wild Horizons bank account, the details of which will be provided on request.

CREDIT CARD ACQUIRING AND SECURITY

Credit card transactions will be acquired for Wild Horizons via PayGate (Pty) Ltd who are the approved payment gateway for Standard Bank of South Africa. PayGate uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no credit card details are stored on the website. Users may go to www.paygate.co.za to view their security certificate and security policy.

CUSTOMER DETAILS SEPARATE FROM CREDIT CARD DETAILS

Customer details will be stored by Wild Horizons separately from card details which are entered by the client on PayGate’s secure site. For more detail on PayGate refer to www.paygate.co.za

MERCHANT OUTLET COUNTRY AND TRANSACTION CURRENCY

The merchant outlet country at the time of presenting payment options to the cardholder is South Africa. Transaction currency is South African Rand (ZAR).

RESPONSIBILITY

Wild Horizons takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website, customer service and support, dispute resolution and delivery of goods.

COUNTRY OF DOMICILE

This website is governed by the laws of Zimbabwe and Wild Horizons chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature.

VARIATION

Wild Horizons may, in its sole discretion, change this agreement or any part thereof at any time without notice.

GENERAL SALES AGREEMENT

TOURS, TRANSFERS AND ACTIVITIES

 

  1. AGREED RATES

1.1       Rates Sheet

1.2       National Park Fees

National Park Fees applicable to activities or tours and payable by Wild Horizons to National Parks will be included in the invoice billed direct to the Agent placing the booking but quoted separately. These include:

River Usage – All Cruises                                             US$ 10.00

River Usage – Canoeing, White Water Rafting             US$ 10.00

Victoria Falls Rainforest Entry Fee                               US$ 30.00

All other Park Fees are payable directly to the operator by the client if and where applicable

All Park Fees are subject to change without notice should the Parks and Wildlife Management authorities make such changes

 

  1. BOOKING PROCEDURES / REQUIREMENTS & AGENT RESPONSIBILITY
  • Booking Procedure / Requirements
  • All Reservations are to be made by The Agent in writing
  • Children under 12 or under 2 should be indicated as such or they will be charged as adults
  • Tour Leaders must be indicated on the booking or they will be charged as normal guests. The Tour Leaders will be subject to the Tour Leader Policy in this document

2.2       Agent Responsibility:

WH / The Product Supplier takes no responsibility for the client’s passport validity, visas, travel permits, travel insurance, health certificates, inoculations and any other documentation required for the trip. WH accepts no responsibility for any loss/theft of personal items and/or any injuries that might occur, for the duration of the trip.

  1. TERMS AND CONDITIONS:

Please note WH reserves the right to cancel, at any time, a service booked should WH deem it unsafe or due to rains, or any other such unforeseen circumstance.

General Terms and Conditions

  • All prices are quoted and payable in United States Dollars (USD)
  • Regional based Agents may pay in Rands using the prevailing Midrate of Exchange on the date of payment
  • Rates are net and non-commissionable.
  • The agreement validity is as stated on the rate sheet and it supersedes any previous agreement.
  • All tours are based on a minimum of two pax unless otherwise stipulated and are based on seat in coach rates. For specific private services please request a quote at the time of booking.
  • All Botswana transfers are based on a minimum of two pax.
  • Visa fees are not included in the prices on the rate sheet and must be settled directly by the client should such fees be applicable.
  • This agreement is non-assignable and shall have effect according to the laws of Zimbabwe.
  • WH reserves the right to terminate this agreement with immediate effect.
  • All tours include the collection of guests within the immediate vicinity of the various Victoria Falls and Livingstone Hotels. Please check with our reservations if you are unsure.
  • Private services other than those stipulated in the Rate’s Sheet will be charged according to the vehicle or boat capacity.
  • Park Fees are quoted separately and are required to be paid by the Agent.
  • Prices are subject to change without notice in the event of any statutory fees and levies being imposed.
  1. CANCELLATION POLICY

All Cancellations must be received and acknowledged in writing and the following conditions apply:

  • CANCELLATION POLICY: 
  • Cancellation more than 60 days before date of travel – no charge
  • Cancellation between 30 and 60 days before date of travel – 20% cancellation fees
  • Cancellation between 30 days before date of travel – 50% cancellation fees
  • Cancellation within 7 days before date of travel – 80% cancellation fees
  • Cancellation within 24 hours or No Show – 100% cancellation fees

In regard to children, the following policy applies:

As a general rule children under 12 are ½ price, and children under 2 are free, but please check the below table or the office for confirmation.

  1. COMPLIMENTARY POLICY:

TOURLEADERS:

1 x Bonafide Tour Leader per 20 paying passengers. (Excluding Park Fees and direct costs incurred by WH)

FAMILIARISATIONS:

These will be issued at the discretion of WH and subject to availability and may be subject to a cost recovery.

 

  1. PRE-PAYMENT REQUIREMENTS & BANKING INFORMATION:

7.1       Pre – Payment Requirements

In regard to payment, the following applies:

  • Payment must be received in full by WH upon confirmation of the booking and 30 days before date of travel.
  • Proof of payment should be emailed through to WH to confirm receipt of payment.
  • Remittance Advice’s need to be emailed so as to ensure correct allocation of payment against invoices.
  • All Bank Charges are for the Agent’s Account and not deductible from WH Billing.

  1. BOOKING PROCEDURES / REQUIREMENTS & AGENT RESPONSIBILITY

9.1       GENERAL

  • All reservations must be received in writing.
  • Please forward a rooming list with names of guests upon confirmation.
  • Special dietary requirements to our reservations department at least 30 days prior to arrival date.
  • Should you cancel a confirmed booking, the cancellation policy will apply.
  • Regrettably, no telephonic reservations will be held.
  • Guests will be asked to sign an indemnity form on arrival at the lodges.

 

9.2       BOOKING PROCEDURES AND POLICIES (1 TO 5 GUESTS)

  • Reservations made outside of 90 days prior to travel will be held provisionally for a maximum of 14 days from date of reservation unless confirmed status is requested by The Agent.
  • Reservations made inside of 60 days prior to arrival will be held provisionally for a maximum of 7 days unless confirmed status is requested by The Agent and a 50% non-refundable deposit received.
  • Reservations made inside of 30 days prior to arrival will be held provisionally for 72 hours unless confirmed status is requested by The Agent and full payment received.
  • Kindly note, unless the above terms are met, we reserve the right to automatically cancel the reservation.
  • All Reservations are to be pre-paid 30 days prior to arrival.
  • Provisional bookings will be held for periods stipulated above. Thereafter WH reserves the right to release any such provisional booking. However, should WH receive a confirmed booking during the stipulated period, you will be informed in writing to confirm your reservation. Failure to do so within 24 hours may result in the booking being cancelled.
  • Should a booking be confirmed and the number of guests and/or rooms be reduced, our standard Cancellation policy will apply.

9.3       Agent Responsibility:

  1. TOUR LEADER POLICY (APPLICABLE TO WILD HORIZONS LODGES)

1 – 9 Full paying guests – Tour Leader is charged full rate

1 0 – 1 6 Full paying guests – Tour Leader pays 50% of rate

  1. CANCELLATION POLICY

Cancellations are only effective on receipt of written notification. All reservations made shall become subject to the cancellation policy once the Agent has confirmed a booking in writing:

  • Should a cancellation be received once a confirmed status is held, 20% of the contracted rate will be charged.
  • Should a cancellation be received between 60 and 31 days prior to due arrival date 50% of the contracted rate will be charged.
  • Should a cancellation be received between 30 and 0 days prior to due arrival date 100% of the contracted rate will be charged.
  • Cancellations and Confirmations must be in writing by all parties concerned.
  • Please note: Should your clients fail to arrive on the due arrival date, start their trip after departure or leave before its completion, no refund will be made.
  1. PAYMENT TERMS & CONDITIONS
  • In order to secure a booking, we require a 20% non-refundable deposit.
  • Full pre payment to be received 30 days prior to travel. If payment has not been received we reserve the right to cancel the reservation and our cancellation policy will apply.
  • The onus is on the Agent to ensure payment is affected and to confirm payment details directly to Wild Horizons.
  • Any and all charges incurred in making payment to Wild Horizons shall be borne by the
  • Agent, irrespective of mode or form of payment made.

 

  1. CHILD POLICY
  • Unless booking the whole lodge, we regret that no children under the age of 7 will be accepted at Imbabala Zambezi Safari Lodge and the Elephant Camp
  • Children aged 7-12 years will be charged 50% of the adults sharing rate.
  • As our lodges are in wildlife areas, children should be under supervision of their parents or a guardian at all times.
  • The two Family Suites at The Elephant Camp are equipped with one king-sized bed and one fold-out sleeper bed (double).
  • The Family Suite at Imbabala Zambezi Safari Lodge is equipped with one queen-sized bed and two single beds.

 

  1. AMENDMENTS

Any Amendments to the Agreement must be recorded in writing and agreed by both parties.
